Montessori Regional Charter School PTO Bylaws

ARTICLE I: NAME

The name of the organization is Montessori Regional Charter School PTO.

ARTICLE II: PURPOSE AND SCOPE

The purpose is to aid the students and faculty of MRCS in achieving their fullest potential by providing educational and personal enrichment, and by encouraging cooperative interaction between parents, teachers, and the community as a whole. The MRCS PTO will achieve these goals by fundraising, supporting and providing enrichment programs, assemblies, and field trips, providing a forum for discussion and promoting open communication.

ARTICLE III: MEMBERSHIP AND VOTING ELIGIBILITY

  1. All parents/guardians of children enrolled at Montessori Regional Charter School shall be voting members of the PTO.
  2. A quorum of the membership shall consist of those members present at any regular or special membership meeting of this organization.
  3. Members shall be notified of all upcoming meetings through both a written notice and emails distributed to all families or school bulletins.
  4. No dues shall be collected.

ARTICLE IV: OFFICERS AND EXECUTIVE BOARD

  1. The MRCS PTO officers shall consist of a President (or Co-Presidents), Vice-President, Secretary, and Treasurer.
  2. The voting members of the organization shall elect the officers. Elections shall be held in May of each year for a one-year term. A majority of the votes cast by the voting members shall be necessary for election. No officer shall be eligible to serve in the same office for more than two consecutive terms.
  3. The Executive Board will consist of the Officers, the Chairs of each Committee, and the Teacher Representative.
  4. The Executive Board shall approve and schedule all PTO programs and activities.
  5. Chairs of the committees are appointed by the President.
  6. Standing Committees will consist of: Hospitality, Yearbook, Fundraising, Building, and Arts and Enrichment. Special event Committees will consist of: Art Show, Spring Musical. Other committees can be established as needed by the Executive Board.

ARTICLE V: COMMITTEES

  1. Committee Chairs shall keep a procedure book or file detailing activities, responsibilities, and expenses.
  2. Committee meetings shall be called by the Committee Chair and shall meet as often as is necessary to carry out their functions. The committee chairs shall provide the PTO president or vice-president with periodic status reports.
  3. Publicity and communications shall be cleared by the PTO Chair and President.
  4. A financial report shall be made to the Treasurer after each fundraising event.
  5. The Committees will be responsible for the following events/projects:

a. Fundraising: planning and organizing all fundraising events
b. Hospitality: potluck dinners, refreshments for events, picnics
c. Yearbook: photographs, book and page design, copywriting, printing, and organizing the sales of the books
d. Building: coordinating building needs and beautification projects
e. Arts and Enrichment: researching, booking, and organizing field trips, assemblies, programs, and speakers.

ARTICLE VI: MEETINGS

  1. Committee chairs are part of the Executive Committee and shall attend monthly meetings with the officers.
  2. All general and committee meetings shall be open to all interested parties.
  3. Members shall be notified of all upcoming general or special meetings through either the weekly school flier or through written notice distributed to all families.

ARTICLE VII: FINANCES

  1. The Executive Committee shall present to the membership at the first regular meeting of the school year a budget of anticipated revenue and expenses for the year. The budget shall be used to guide the activities of the PTO during the year. Any substantial deviation from the budget must be approved in advance by the membership.
  2. Non-administrative expenditures over %500 shall be authorized by a majority vote of the voting members present at a general or special PTO meeting. Expenditures under $500, emergency expenditures involving legal or attorney matters concerning the organization shall be at the discretion of the Executive Committee.
  3. All PTO checks over $300 must be signed by the Treasurer and one other officer. Any check written to someone authorized to sign on PTO’s account must have a second signature regardless of amount.

ARTICLE VIII: BYLAW AMENDMENTS

These bylaws may be amended by a majority vote of the voting members present at a general or special meeting.
